Safeguarding Policy for AcademicXP

AcademicXP, part of The Talent Navigator (www.thetalentnavigator.com), is committed to ensuring the safety, well-being, and protection of all students who engage with our tutoring services. This policy outlines the measures we take to safeguard students and ensure a secure, professional, and ethical learning environment in compliance with UK safeguarding regulations.

1. Our Commitment to Safeguarding
We are dedicated to:
  • Providing a safe online learning space for all students.
  • Ensuring tutors follow best practices in student welfare and professional conduct.
  • Protecting children and vulnerable individuals from harm, exploitation, and inappropriate conduct.
  • Following UK safeguarding laws and educational best practices.

2. Who This Policy Applies To
This policy applies to:
  • Students engaging in tutoring services provided by AcademicXP.
  • Parents and guardians who arrange tutoring for minors.
  • Tutors and staff responsible for delivering educational support.

3. Online Tutoring Safeguarding Procedures
As an online tutoring service, AcademicXP follows strict safeguarding measures to ensure student safety:

📌 Secure Online Platforms
  • All tutoring is conducted via Zoom, Microsoft Teams, or other secure platforms such as Google Meet.
  • Agreement sought to use personal messaging apps (e.g., WhatsApp, Snapchat) for tutoring-related communication.

📌 Parental Involvement & Supervision
  • For students under 18, a parent/guardian must provide consent before tutoring begins.
  • Parents are welcome to attend sessions or review progress reports upon request.

📌 Appropriate Boundaries & Professional Conduct
  • Tutors must always act professionally and maintain appropriate language, tone, and behaviour.
  • No one-on-one direct communication with students outside of agreed tutoring channels.
  • No request for personal information beyond what is necessary for tutoring.

📌 Session Recording & Documentation
  • Tutoring sessions may be recorded for safeguarding purposes (with prior consent).
  • AcademicXP keeps detailed records of all sessions to ensure transparency and accountability.

4. Reporting Safeguarding Concerns
If you have any safeguarding concerns, please contact us immediately at [email protected].
  • Students: If you feel uncomfortable during a session or have concerns, speak to a parent/guardian or email us.
  • Parents & Guardians: Report any issues regarding tutor conduct, student welfare, or online safety.
  • Tutors & Staff: Any safeguarding concerns must be reported immediately to AcademicXP management.

5. Compliance with UK Safeguarding Regulations
AcademicXP adheres to UK government safeguarding guidance, including:
  • Keeping Children Safe in Education (KCSIE).
  • The Children Act 1989 & 2004.
  • General Data Protection Regulation (GDPR) – Protecting student data & privacy.
